Quick start: create your first document

Use this simple flow when you open Timio for the first time.

Set up your business profile

Add your business name, contact details, logo, document prefixes, default currency, VAT/tax settings, notes, and terms. These details help your PDFs look consistent and professional.

Add or select a customer

Create a customer record once, then reuse it when creating future quotes, invoices, receipts, jobs, or statements.

Add items or services

Save common products, services, labour lines, materials, or charges so you do not need to type the same details every time.

Choose the document type

Start with a quote before work is accepted, an invoice for billed work, a receipt after recording an invoice payment, or a statement when a customer needs an account overview.

Preview and share the PDF

Generate a professional PDF and open or share it using the apps available on your device.

Timio is focused on practical everyday records: quotes, invoices, receipts from invoice payments, customer statements, customers, jobs, items/services, reports, PDFs, and accountant exports. It is not intended to replace full accounting software for complex businesses.

Set up your business profile

Before creating documents, add your business information so it can appear correctly on your PDFs and be used as the default for new records.

Tip: Check your business details before sending your first real document. Small mistakes in business information can make PDFs look less professional.

  • Company name, phone, email, address, and owner first and last name.
  • Logo, quote number prefix, invoice number prefix, and default currency.
  • Default VAT mode, VAT rate, notes, terms, appearance, and language settings.

Customers

Customer records help you avoid typing the same information again and again. When you create a customer once, you can reuse that customer on quotes, invoices, jobs, receipts, and statements.

  • Customer name, phone number, email address, address, and notes.
  • Related jobs and document history, where available in the app.

Import customers from contacts

Timio can optionally help import selected customer details from your device contacts. Contact import is permission-based and user-controlled. If you do not want to import contacts, you can still create customers manually.

Jobs

Jobs help organize work-related information around a customer or site. Timio supports job records for practical field details, but it should not be treated as a full dispatch or scheduling platform.

Field details

Keep site notes, measurements, planned date/time fields, status, and photos where available in the app.

Related documents

Jobs can help keep work context close to related quotes or invoices where supported.

Focused job records

Timio does not present jobs as route optimization, team dispatch, calendar sync, or advanced field-service scheduling.

Items and services

Items and services help you create documents faster. Save the products, services, labour lines, materials, or common charges you use regularly, then select them when preparing a quote, invoice, or receipt.

  • Name, type, description, category, unit price, unit, currency, and VAT/tax defaults.
  • Active/favorite status and internal notes, where available.
  • Examples: labour, installation work, repair work, service visit, materials, products, and call-out charge.

Tip: Keep item names clear and customer-friendly. A clear description reduces questions after you send the PDF.

Quotes and quotations

A quote is usually used before work is accepted. Timio helps you create quotations with customers, jobs, line items, totals, VAT/tax settings, discounts, notes, terms, statuses, follow-up details, and shareable PDFs. It works as a practical quote app for tradespeople who need to create quotes from your phone while details are fresh.

How to create a quote

  1. Choose or create the customer.
  2. Link a job if relevant.
  3. Add the relevant items or services.
  4. Check quantities, prices, discounts, VAT/tax settings, and totals.
  5. Add notes or terms if needed.
  6. Preview the PDF.
  7. Share the quote with the customer.

Quote statuses and follow-ups

Timio supports quotation statuses such as draft, sent, follow-up due, won, and lost. Follow-up dates and notes can help you remember which quotes need attention.

Convert a quote into an invoice

When a quotation is accepted, Timio can convert an eligible quote into an invoice instead of making you type the same job again. This keeps the workflow simple and helps move from proposed work to billed work.

  • Quote-to-invoice conversion exists for eligible quotes.
  • Duplicate conversions are blocked where supported.
  • The invoice keeps the relevant customer and line-item information.
  • The quote status can move to won where supported.

Invoices

An invoice is used when work has been billed to the customer. Timio helps you create invoices from your phone, preview or share invoice PDFs, and track payment progress using recorded payments.

How to create an invoice

  1. Choose or create the customer.
  2. Add the work, products, or services.
  3. Check pricing, VAT/tax settings, discounts, totals, and notes.
  4. Review the invoice details.
  5. Preview and share the invoice PDF.

Paid, part-paid, and unpaid invoices

Timio's invoice payment status is based on recorded payment activity. This helps show whether an invoice is unpaid, partly paid, or paid, depending on the invoice total and payments recorded.

Payments and receipts

Timio lets you record payments against invoices. Receipts are created from recorded invoice payments and can be viewed or shared as PDFs.

When to issue a receipt

Use a receipt when a customer has paid and you want to provide a clear payment record. Receipts help keep customer paperwork organized after the job is complete.

Customer statements

Customer statements help show a customer's account activity based on invoice and payment records in Timio. They are useful when a customer asks what has been billed, what has been paid, or what may still be outstanding.

Statement options

Statements can use date presets, a custom date range, currency selection, include paid items, outstanding-only filtering, an aging summary, a note, and PDF sharing.

When to use a customer statement

Use a statement when a customer asks for an account overview, has multiple invoices or payments, needs a period summary, or needs a clean PDF record of customer activity.

Preview and share professional PDFs

Timio can generate PDFs for quotes, invoices, receipts, and customer statements. The app can open or share PDFs using the apps available on your device.

  • Quotes and invoices support PDF preview and sharing.
  • Receipts support PDF viewing and sharing from recorded payments.
  • Statements support PDF generation and sharing.
  • If no PDF viewer or sharing app is available, the device may need a suitable app installed.

Reports and unpaid invoices

Timio includes reports and unpaid-invoice visibility to help users understand business activity and follow up on open amounts.

  • Reports where available in the app.

Accountant export

Timio supports exporting business records for accountant handover workflows. Exports can include CSV files or ZIP bundles for records such as invoices, receipts, payments, balances, and VAT summary, depending on the selected export options in the app.

This is an export feature only. Timio does not provide direct accounting software integration, tax authority submission, or legal/tax compliance.

Timio Pro

Timio uses Google Play Billing for optional Pro subscriptions. Some features or limits may depend on whether the user is using the free version or Timio Pro.

  • Pro is handled through Google Play Billing.
  • Subscription state is managed through Google Play.
  • Users can review subscriptions through Google Play.

Data storage and privacy

Timio stores business records locally on the user's device by default. The current version does not require a Timio account, login, or Timio cloud sync.

Local-first storage

Business records are stored in a local Room database. Logos, photos, PDFs, CSVs, and ZIP exports may use local files or cache where applicable.

Controlled sharing

Contact import is optional and permission-based. Users can share or export records manually through device apps.

Google Play and Android

Google Play Billing may communicate with Google Play for subscription management. Android system backup settings may affect some app data depending on device and system configuration.

Because Timio is local-first by default, users should be careful before changing devices, deleting the app, clearing app data, or resetting their phone. Do not delete or reset the old device until you are sure any records you need are safe.

The current version of Timio does not require a Timio account or login.

Can I convert a quote into an invoice?

Where is my data stored?

Timio stores business records locally on the user's device by default. The current version does not require Timio cloud sync or login.

What should I know before changing phones?

Because Timio is local-first by default, users should be careful before changing devices, deleting the app, clearing app data, or resetting the phone. Make sure any records you need are safe before removing data from the old device.

Does Timio support online payments?

Timio does not provide online payment processing or payment links in the current version. Payments can be recorded against invoices inside the app.

Troubleshooting

I cannot open a PDF

Make sure the device has a PDF viewer installed. You can also try sharing the PDF through another app available on the device.

I cannot share a PDF

Check that your device has an email, messaging, file, or sharing app available. Android sharing depends on the apps installed on the device.

My document totals look wrong

Check quantities, prices, discounts, VAT/tax settings, and line items before sharing the PDF.

I cannot find a customer

Search for the customer by name or create a new customer record if the customer has not been saved yet.

I want to change my business details

Update your business profile before creating or sharing new documents so the correct information appears on future PDFs.

I changed phones

Because Timio stores records locally by default, changing phones may affect access to previous records unless export or backup options are available to you. Do not delete or reset the old device until you are sure your records are safe.

Contact import is not working

Contact import depends on device permission and available contact details. You can still create customers manually if you do not want to use contact import.
